Practice Group Assistant/Receptionist

There is an immediate opportunity available as a PRACTICE GROUP ASSISTANT/RECEPTIONIST to work out of our Montreal office. This position provides assistance with overflow work assigned by professionals, assistants, and clerks, within the Montreal Office from both Patent and Trade Mark practice groups.

Responsibilities include:

Redirect incoming calls to the appropriate person; Greeting visiting office guests and notifying the appropriate staff of their arrival.
Handling the opening and closing of client files.
Input data for correspondence forms, documents, memos and letters from dictation, handwritten notes and typed documents.
Prepare documents from precedents and once approved filing with CIPO, WIPO and/or USPTO
Drafting and preparing routine correspondence for professional approval/signature using precedents.
Revise documents and correspondence from detailed instructions.
Prepare and revise Trade Mark and/or Patent applications including electronic filings where applicable.
Review documents while checking for spelling, grammar and typos.
Review documents for reasonableness or content.
Photocopying straightforward documents depending on amount, confidentiality and complexity.
Proofreading status reports and verifying information.
Proofreading and revising documents to correct spelling/typographical errors, grammatical errors and formatting issues.
Transcribing voicemail messages.
Transcribing documents including letters, memos, and correspondence from dictation.
Ordering, downloading, searching and/or printing published patents, and/or Non-Patent Literature.
Ordering trade mark searches with and without direction from the professional.
Faxing, photocopying, and scanning documents and correspondence.
Floating to cover legal assistant vacations and/or extended absences.
Act as back up to the Office Assistant when on vacation or away, and;
Manage daily reports; due-date report, regional report, IP report and send all necessary internal reminders
Other administrative duties as assigned by professionals, assistants and/or clerks.

Qualifications include:

Must be bilingual in English and French.
Legal Assistant Diploma/ Certificate or equivalent experience is required.
Minimum 1 year experience in the legal field.
Interest in Intellectual Property Law an asset.
Knowledge of Patent and/or Trade Mark procedures and rules an asset.
Strong communication skills (both verbal and written) including the ability to deal with clients, and all levels of staff.
Excellent time management and prioritization skills.
Excellent attention to detail.
Superior time management and organizational skills
Customer service focused attitude.
Computer literate with strong working knowledge of legal software and standard software (Word, Excel, PowerPoint, Outlook).
Excellent interpersonal and problem solving skills.
